These terms are the agreement between you and BrandPacks Limited ("PhotoPostman", "we", "us"), a company incorporated in Hong Kong, of Unit 1603, 16/F, The L. Plaza, 367-375 Queen's Road Central, Sheung Wan, Hong Kong. Contact: support@photopostman.com.
"You" means the business or person who creates a PhotoPostman account. If you accept these terms for a company, you confirm you are allowed to bind it.
These terms work together with:
- our Privacy Notice, which explains how we handle personal data;
- our Data Processing Agreement, which applies when we handle personal data in your event media on your behalf;
- our Acceptable Use Policy;
- our Retention and Recovery Policy;
- our Cancellation and Refunds page;
- once paid plans are on sale, the buyer terms of our payment provider, Paddle (see section 6).
1. What PhotoPostman is
PhotoPostman is an online service for delivering event media. It lets you:
- create branded galleries for events, filled by uploading files, by our desktop uploader (when available), or by connecting a folder in Dropbox, Google Drive or OneDrive;
- send files to someone through a private transfer download page; and
- create permanent QR links to your galleries, including from TemplatesBooth when you link your accounts.
PhotoPostman is a delivery service. It is not a camera app, image editor, booking system, public photo-sharing site, or general-purpose file host, and it is not designed to be your only copy of your files. Please keep your own copies of anything you cannot afford to lose.
"Live" means automatic, not instant. New files appear after they have uploaded and been checked and processed. We do not guarantee a delivery time. If a venue has no internet connection, the uploader can retry later, but guests cannot receive new files until the connection returns.
Features can differ by source. What a gallery can do (for example, video playback or "download all") can depend on where the originals are stored. We describe the current capabilities of each source in our help centre.
2. Who can use PhotoPostman
PhotoPostman is designed for businesses, such as photo booth operators and event photographers. You must be at least 18 and able to enter a binding contract.
If the law where you live treats you as a consumer, you keep every right that law gives you. Nothing in these terms takes those rights away, and a statement that you are a business does not by itself remove them.
3. Your account
- You must give accurate details and verify your email address.
- Keep your password safe and turn on two-step sign-in if you can. Tell us promptly at support@photopostman.com if you think someone else has used your account.
- You are responsible for activity in your account and for anyone you give access to, including people who use an organiser link or a device you have paired.
- One person or business may not create several accounts to obtain repeated trials or more free allowance.
4. The free trial
- The trial lasts 30 days from the moment you verify your email address. No card is needed and you will not be charged automatically when it ends.
- During the trial you can use: 2 events, 5 GB of stored original files, 5 GB of newly accepted uploads in total across the trial, 1 active transfer, files up to 1 GB each, 500 connected cloud items, 500 image previews and 10 minutes of video/audio conversion.
- Trial galleries use a PhotoPostman web address and show a small "Delivered with PhotoPostman" credit. Custom domains are not available during the trial, and trial files are not covered by the 90-day recovery archive.
- When the trial ends, public galleries and transfer links close, and new uploads, imports, syncing and processing stop. You then have 14 days of read-only access to download (export) your files and to choose a paid plan. We show the exact deletion date in your dashboard and by email.
- If you do not move to a paid plan within those 14 days, we permanently delete the trial files. Your account itself stays open so you can sign in later (see our Retention and Recovery Policy).
We may change or end the trial offer for new sign-ups at any time. Changes do not shorten a trial that has already started.
5. Plans and allowances
Paid plans include the allowances below (plan version 2026-11-v1). The plan page or checkout shown when you buy is the definitive description of what you bought.
| Starter | Plus | Studio | |
|---|---|---|---|
| Monthly price (USD, excl. tax) | $5.99 | $9.99 | $24.99 |
| Annual price (USD, excl. tax) | $49.99 | $99.99 | $249.99 |
| Stored original files | 10 GB | 25 GB | 100 GB |
| New uploads per rolling 30 days | 10 GB | 25 GB | 100 GB |
| Connected cloud items | 2,000 | 10,000 | 40,000 |
| New image previews per month | 2,000 | 5,000 | 15,000 |
| Video/audio conversion per month | 30 min | 90 min | 300 min |
| New transfers per month | 10 | 30 | 100 |
| Largest transfer (original files) | 10 GB | 25 GB | 100 GB |
| Custom gallery domain | 1 | 1 | 1 |
| 90-day recovery of hosted files | Yes | Yes | Yes |
| Largest single file | 5 GB | 5 GB | 5 GB |
How we measure:
- 1 GB means 1,000,000,000 bytes.
- Stored original files counts each original you host once per account, even if it is used in several galleries and transfers. Imported cloud files count. Previews, temporary ZIP files, our own backup copies and files in the recovery archive do not count.
- New uploads per rolling 30 days counts every original we accept in the last 30 days, including imports and transfer files. Deleting files does not give this allowance back early: if you delete a 10 GB event and upload another 10 GB, you have used 20 GB. Capacity returns as your oldest uploads pass the 30-day mark, and the dashboard shows when. It does not reset on your billing date, including on annual plans. A verified retry of the same file counts only once, and restoring a file from the recovery archive does not count. The reason for this limit is explained in our Retention and Recovery Policy.
- Connected cloud files (left in Dropbox, Google Drive or OneDrive) do not use either storage allowance, but the connected-item and processing allowances apply.
- There is no fixed limit on the number of galleries, but a high technical limit on events applies to prevent misuse, and all galleries share the allowances above.
When you reach a limit, we stop accepting the new work that would exceed it and tell you what resets when, or how to upgrade. We do not delete files, lower quality silently or charge you more automatically. Files already shared stay available for the rest of your paid term. If preview or conversion allowance runs out, supported originals stay downloadable even where a preview cannot be made.
Complimentary and pilot plans. We may give an account a paid plan without charge (for example, during a pilot). Unless we agree otherwise in writing, a complimentary plan lasts for the period we tell you, and we will give you at least 30 days' notice before it ends. When it ends, section 9 applies as if the plan had been cancelled, so you still get the export window and recovery archive.
6. Buying a paid plan
Before paid plans open: paid checkout may not yet be available. Until it is, the service is offered through the trial and through complimentary or pilot plans, and nothing in this section applies to you until you buy a plan.
When paid plans are on sale, they are sold through Paddle (Paddle.com Market Limited, or the Paddle group company named at checkout), which acts as the merchant of record. That means:
- Paddle is the seller in the payment transaction. It takes payment, calculates and collects sales tax or VAT, and issues your receipts and invoices.
- Paddle's buyer terms apply to the purchase in addition to these terms. If they conflict about payment, tax, invoices or the refund process, Paddle's buyer terms apply to those topics. These terms govern the PhotoPostman service itself.
- We do not see or store your full card details.
Prices on our website are in US dollars and exclude tax. Checkout shows the total including any tax before you pay. Where the law requires prices to be shown including tax, we show them that way.
Introductory offers will always state how long the discount lasts and the price you will pay on renewal. There are no lifetime prices.
Your plan starts once Paddle confirms the payment to us, not when a browser page says "success".
7. Renewal
Paid plans renew automatically at the end of each term (monthly or annual) for the same length of term, until you cancel. Before you buy, checkout shows the amount and renewal frequency. For annual plans, we send a reminder before renewal where the law requires it, and in any case we aim to remind you at least 7 days beforehand.
8. Changing your plan
- Upgrades take effect as soon as the payment is confirmed. Checkout shows any amount due for the rest of your current term before you confirm.
- Downgrades take effect at your next renewal. If your stored files are more than the smaller plan allows, we warn you in advance so you can export, delete files or keep your current plan. We never delete originals to make a downgrade fit, and we never switch you to a more expensive plan without your agreement. If you are still over the new allowance after renewal, your existing files stay where they are, but new uploads pause until you are back within the allowance.
9. Cancelling, and what happens when the service ends
You can cancel at any time from Plan and usage in your dashboard, from the link in your Paddle receipt, or by emailing support@photopostman.com. Full steps are on our Cancellation and Refunds page.
- Cancellation stops the next renewal. You keep everything you paid for until the end of your current term.
- Refunds for unused time are given only where the law requires it or these terms say so. Your statutory rights, including any right of withdrawal, are explained on the Cancellation and Refunds page.
When your paid service actually ends (at the end of a cancelled term, after an unpaid overdue period, or when a complimentary plan ends):
- Galleries and transfer links close to guests and recipients, and new uploads, imports and syncing stop.
- You have 14 days of read-only access to export your hosted files.
- Your hosted files enter the recovery archive for 90 days counted from the day the service ended. The 14-day export window falls within those 90 days and does not extend them.
- To restore files from the archive you need an active paid plan with enough free storage.
- When the 90 days end, the files are permanently deleted.
You can choose Permanently delete now at any time to skip the recovery archive.
10. Overdue payments
If a renewal payment fails, Paddle retries it. Your service continues for a 7-day grace period. We tell you by email and in your dashboard. If the payment is still outstanding after the grace period, your paid service ends and section 9 applies. Files are never deleted simply because a payment notice from Paddle is delayed. If you pay later, we restore your service, and you can restore archived files as described in section 11.
11. Expiry, the recovery archive and deletion
- You choose when each gallery or transfer expires: 7, 30 or 90 days, a custom date, or (on a paid plan, within your allowance) no expiry. Transfers expire after 7 days by default and after at most 30 days. Expiry is enforced at the moment someone tries to open a link, even if routine clean-up runs late.
- On paid plans, when a gallery or transfer expires or you close it, the hosted originals it used, unless they are still used by another active gallery or transfer, are copied to our recovery archive. The copy is checked before the hot copy is removed. The dashboard shows "Archive pending" until the check succeeds and "Restore until [date]" afterwards.
- The recovery archive keeps files for 90 days from the expiry or closing date. Delays in copying do not extend this date. Archived files do not count against your stored-files allowance.
- Restoring a file needs an eligible paid plan and enough free storage. We will not upgrade you or charge you automatically to make room.
- To prevent endless restore-and-expire cycles, a restored file must stay active for 90 days in a row before a later expiry starts a fresh 90-day recovery window. If it expires again sooner, the original recovery date still applies. We show you that date before you close the gallery.
What recovery does not cover. The recovery archive covers only hosted files that we fully received and verified. It does not cover:
- cloud-connected originals that stay in Dropbox, Google Drive or OneDrive. We never hold a backup of those, so if you delete or lose access to them at the source, we cannot recover them;
- trial files;
- uploads that never completed;
- previews and temporary ZIP files, which we recreate from originals when needed; or
- files already permanently deleted.
Deleting. You can remove a file from a gallery (it stays in your account), close a gallery and keep recovery, or permanently delete now. Permanent deletion cannot be undone. Details are in our Retention and Recovery Policy.
12. Price changes
We may change the price of a plan, for example to reflect our costs. When we change the price of your subscription:
- We give you at least 60 days' notice by a dedicated email to your account email address, and longer if the law or Paddle's terms require it. The notice states the old price, the new price, the renewal date from which it applies, the reason, how to cancel and how to export your files.
- The new price applies only from your first renewal after the notice period. We never increase the price of a term you have already paid for, including an annual term.
- You can cancel before the new price applies. You keep your current price until your term ends and you then have the usual export window and recovery archive.
- Where the law requires your agreement to a price increase, we ask for it. If you do not agree, we do not charge the new price. Instead, your subscription ends at the end of the current term, followed by the usual export window and recovery archive.
- Reducing your plan's allowances or removing a feature you pay for is treated as a separate material change. It needs its own notice and, where required, your agreement. It will not be presented as a price notice.
13. Your files and content
- You own your content. Your photos, videos, audio, branding and other material ("your content") remain yours, or the property of whoever owns them.
- Our licence is limited. You give us permission to store, copy, process, convert (for example into previews, players and ZIP files), back up, display and deliver your content, only to provide PhotoPostman to you and the people you share with, and to keep the service secure. This permission ends when your content is permanently deleted, except for copies that recipients have already downloaded.
- We do not use your content for advertising, for training AI models, for face recognition, or for any purpose other than providing the service. We do not sell it.
- Staff access. Our staff look at your media only when needed for a support request you make, to keep the service secure, or to deal with a legal obligation or a content report. Each access is time-limited and logged.
- Your responsibilities. You confirm you have the rights and permissions needed to upload and share your content, including the permission of the people shown or heard where the law requires it. You also confirm that you give guests and organisers the information they need about how their media is shared. Our Data Processing Agreement explains your role and ours for personal data in event media.
- Downloaded files cannot be recalled. Once someone downloads a file, we cannot remove that copy. Unlisted links can be forwarded by anyone who has them, so use password protection for private events.
- Metadata. We remove location and similar embedded data from the previews we create. Original downloads are byte-for-byte copies and may still contain it.
14. Connected cloud accounts and other services
- When you connect Dropbox, Google Drive or OneDrive, you choose the folder and we access only what that provider's permission allows. Your use of those services is governed by your agreement with them.
- We do not edit or delete your originals in those services. If a provider is unavailable, changes its rules, limits access or deletes files, the affected gallery items may stop working. We cannot guarantee what another provider does.
- If you disconnect a source, connected items in your galleries stop working. You can reconnect, or import files into PhotoPostman (which uses your storage allowance).
- TemplatesBooth is a separate service. Linking it to PhotoPostman is optional and needs your explicit approval in both services. A TemplatesBooth subscription does not include a paid PhotoPostman plan.
15. Custom domains
Custom gallery domains are available on paid plans only. You must own or control the domain and keep its DNS settings correct. We remove a domain that stays unverified, is abandoned or is detached. Your printed PhotoPostman QR links keep working if you change or remove your domain.
16. Acceptable use, suspension and termination
You must follow our Acceptable Use Policy.
We may suspend access to a specific gallery, transfer, link, device or account, but only where it is reasonable and proportionate. This applies:
- if we reasonably believe content or activity is illegal, infringes someone's rights or breaks the Acceptable Use Policy;
- to protect the security of the service, our other customers or the public; or
- if the law requires it.
We will tell you why, unless the law or an ongoing investigation prevents it. We act on the narrowest scope that deals with the problem, for example disabling one link rather than your whole account. You can reply to explain or object. Suspension does not delete your originals unless the law requires removal. Where appropriate, we let you export your lawful content.
We may end your account if you seriously or repeatedly break these terms, after giving you notice and a chance to fix the problem where that is reasonable. We may also end the service for everyone, or end your account for any other reason, by giving at least 90 days' notice. In those cases we refund any prepaid fees for the period after your service ends, and you keep the export window.
You can stop using PhotoPostman and close your account at any time.
17. Availability and changes to the service
We work to keep PhotoPostman available and reliable, but we do not offer a guaranteed uptime or delivery time. We may need to pause parts of the service for maintenance, security or reasons outside our control. We may improve and change features over time. If we remove or materially reduce a feature you pay for, section 12's rule on material changes applies.
18. Our responsibility to you
- We provide PhotoPostman with reasonable care and skill.
- We are responsible for loss or damage you suffer that is a foreseeable result of our breaking these terms or failing to use reasonable care, including the loss of hosted files caused by our negligence.
- To the extent the law allows, we are not responsible for:
- losses that were not foreseeable;
- loss of profit, business or goodwill;
- losses caused by your own actions or instructions;
- losses caused by your connected cloud providers, internet access or equipment; or
- events outside our reasonable control.
- To the extent the law allows, our total liability to you for all claims in any 12-month period is limited to the greater of the fees you paid for PhotoPostman in that period or USD 100.
- Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited or excluded by law. Nothing limits your statutory rights as a consumer.
You are responsible for losses we suffer because content you upload, or your use of the service, breaks the law or someone else's rights. To the extent the law allows, the same 12-month cap applies, except for claims by third parties about your content.
19. Changes to these terms
We may update these terms. For changes that matter to you, we email you at least 30 days before they apply (60 days for price changes, see section 12). If you do not agree, you can cancel before the change applies. You keep your current terms until your current paid term ends. Minor corrections and changes the law requires may apply sooner. We keep earlier versions so you can see what applied when.
20. Notices and language
We send notices to your account's verified email address and may also show them in your dashboard. You can contact us at support@photopostman.com or by post at the address above.
We publish these terms in English, French, German and Dutch. If a translation and the English version differ, we will rely on the English version only where the law allows. You can always rely on any mandatory protection the law of your country gives you.
21. Governing law and disputes
These terms are governed by the laws of the Hong Kong Special Administrative Region, and the courts of Hong Kong may decide disputes about them.
If you are a consumer, you also keep the protection of the mandatory laws of the country where you live, and you may bring a claim in the courts there.
Please contact us first. Most problems can be solved quickly by email.
22. Other terms
- If a court decides that part of these terms is invalid, the rest still applies.
- If we do not enforce a right straight away, we can still enforce it later.
- We may transfer this agreement to another company that takes over PhotoPostman, and we will tell you if we do. Your rights under these terms will not be reduced. You may not transfer your account without our written agreement.
- These terms, together with the documents listed at the top, are the whole agreement between us about PhotoPostman.
