QR codes for your prints

How each event's permanent QR code works, and how to print one that scans reliably.

Updated 4 November 2026

Every event has one permanent QR code. Put it on your photo strips, prints, table cards or signs, and guests can open the gallery straight from their phone.

How the code works

  • The code contains a short PhotoPostman address with a random token, like photopostman.com/q/…. It contains no names, passwords or private links.
  • It always opens the event's current guest gallery. If you add or change your custom domain later, printed codes keep working.
  • It never opens the organiser link. One event-wide code gives every guest the same gallery, so it doesn't separate one guest's photos from another's.
  • When the event expires, the code opens a neutral "gallery closed" page.

Download the code

  1. Open the event and go to the QR tab.
  2. Check the destination and the access mode shown next to the code.
  3. Download it as a vector file (best for design software) or a high-resolution image.

Always print the short web address under the code too, so guests who can't scan can still type it in.

Printers, paper and phone cameras vary. Before every new design:

  1. Print a real test strip on the printer you'll use at the event.
  2. Scan it with at least two different phones (for example one iPhone and one Android phone).
  3. Keep a plain, light quiet border around the code, and good contrast between the code and its background. Don't put decorations over the code.

Don't shrink the code to fit a busy design. If it doesn't scan easily from the printed strip, make it bigger.

New event, new code

Each event has its own code. When you reuse a print design for a different event, swap in the new event's code. If you print last week's code, guests will open last week's gallery.

Passwords and QR codes

If the gallery has a password, guests are asked for it after scanning. Printing the password next to the QR code makes the gallery much less private, so only do it as a deliberate choice.

TemplatesBooth

A TemplatesBooth integration is coming soon. TemplatesBooth members will be able to connect PhotoPostman in the template designer and place an event's QR code straight into their design. Until then, download the code from the QR tab and add it to your design as an image.
