Guest privacy — a guide for operators

Your responsibilities towards the people in your photos, and the tools PhotoPostman gives you.

Updated 4 November 2026

Event photos, videos and audio messages show real people, often including children. As the business running the booth, you (or your client) decide how that media is used, and PhotoPostman processes it on your behalf. This guide is practical advice, not legal advice.

Tell guests how their media will be shared

  • Put a short sign at the booth, for example: "Photos from this booth will be shared in a private online gallery for the event."
  • Agree the gallery's privacy settings with your client before the event.
  • If there are children at the event, take extra care with access settings.

Choose the right access

  • Use a password for private events. Unlisted links can be forwarded.
  • Use Organiser only if guests shouldn't see the media at all.
  • Never print the organiser link as a QR code.
  • Set an expiry date that matches what you've agreed with your client.

See Sharing, passwords and access.

What PhotoPostman does to protect guests

  • Galleries are kept out of search engines, and link previews don't show photos before a gallery is unlocked.
  • Media is only delivered through short-lived, authorised links. Expired galleries close straight away.
  • Location data is removed from previews. Original downloads are untouched, so they may still contain it.
  • We don't use face recognition, we don't train AI on your media, and we never sell it.
  • We never add guests, organisers or transfer recipients to our mailing lists.

When a guest asks for a photo to be removed

  1. Hide the file in the Media tab straight away. It disappears from the guest gallery but stays visible to you.
  2. Decide with your client whether it should be permanently deleted. See Delete files, events or your account.
  3. Reply to the guest to tell them what you've done.

If a guest contacts PhotoPostman directly, we'll pass their request to you, because you control the event. We won't show them anyone else's media.

Reporting illegal content

If you see illegal or harmful content in any PhotoPostman gallery, report it using our content reporting page.
